A journal article is a peer-reviewed work published in a scientific journal. These items are typically between 5 and 20 pages long. This guide explains how to ensure your peer-reviewed journal articles are correctly registered in Pure.

The University library performs the initial registration for most formal publications, including journal articles, conference proceedings, and preprints. This means you should not have to add these items from scratch. However, not all items will be found by the library, and it's important to check and verify all added items.

Your role as a researcher is to:

  • Add any missing articles that the library has not registered. Make sure to make note of this if it happens, so we can use this to improve the process.
  • Verify the accuracy of the entry when they appear in Pure and correct any errors in the metadata.
  • Add missing information e.g., links to other items like datasets or projects, additional urls, notes, license information, etc.
  • Upload the PDF of the item if it's not already attached, especially if the work does not have an open access license.
  • Ensure all co-authors are correctly listed and affiliated, especially those from EEMCS/UT.

Add, check and/or correct journal article entries

If you want to add an item, first check if the publication already exists:

  • Find your publications: navigate to the Personal tab and then click on the My research sub-tab to see a list of your registered outputs.
  • If found, open the record: click on the title of the journal article you want to review. This will open the editor window.
  • If the item does not exist: create a new one. Use the + Add content button to create a new item.

  • Publication category: Ensure it is Research Output โ†’ Contribution to journal โ†’ Article.
  • Title: Check for correctness and ensure it is in sentence case, not all caps. See notes on subtitles below.
  • Authors and affiliations: This is a critical step.
    • Verify that all authors are present.
    • Check that all EEMCS authors are linked to their internal Pure profiles.
    • For external authors, ensure their affiliation is correct. For detailed steps, see adding_external_authors_affiliations.
  • Publication state and dates: Check that the publication date is correct.
  • Journal: Verify that it is linked to the correct journal record (check the ISSN).
  • Electronic version(s) and links:
    • Ensure a link to the DOI is present.
    • Check the Open Access status.
  • Relations to other content:
    • Link the article to any relevant EEMCS projects or grants.
    • Link the article to any datasets or software you have registered in Pure.

Additional remarks:

  • Subtitles: Pure has a subtitle field, but it's often not indexed well by other systems. It is best practice to combine a title and subtitle into a single title field, separated by a colon. For example: โ€œMy great journal article: an explanation of important thingsโ€.
  • Previous employment: If the article is from a previous position before you joined the UT, it needs to be affiliated correctly. See adding_from_previous_employment.

What if my article is missing?

If you have a published article that does not appear in Pure after a reasonable amount of time, it may have been missed by the library process. Please add it yourself, following the guidelines as shown above, and additionally, please do the following:
